Automation Workflow

• Transaction Detection:

  Trigger: When a new transaction is recorded in Xero (or any other API-supported invoicing/accounting tool such as QuickBooks or Zoho Invoice) without an associated receipt. Action: Make.com identifies the missing receipt and generates an entry in a designated Google Sheet.

• User Enrollment and Notification:

  Trigger: Upon detection of a transaction without a receipt, the user associated with the transaction is automatically enrolled in a Telegram bot. Action: The Telegram bot sends a reminder message to the user, notifying them of the missing receipt and requesting they upload it.

• Receipt Upload and Confirmation:

  User Action: The user uploads the missing receipt using Hubdoc or Dext (Receipt Bank). Automation: As the receipt is uploaded and matched to the transaction, the Google Sheet report is automatically updated to reflect the receipt status.
